RECRUITING METHODOLOGY
SOFT incorporates a phased approach to our recruiting methodology.
STEP 1 – Source
Upon intake of a new requirement, it is simultaneously ingested into our proprietary database and posted to our website. Our Recruiting Manager is notified and assigns the requirement to a primary recruiter. This primary recruiter is ultimately responsible for submitting qualified and fully vetted candidates to their assigned position.
Once the primary recruiter is notified of a new assigned requirement, they asses the position, and using proprietary and commercial tools along with their professional network, creates a pool of potential candidates. Because of SOFT’s experienced recruiting team, highly qualified candidates can often be sourced within a couple of hours. Outreach is performed via email, text messaging, and telephone calls leading to SOFT’s screening process.
Step 2 - Screen
In parallel with identifying the primary recruiter and sourcing, once a new requirement is ingested into our database, preparation for thorough screening begins. Our Account Manager works with our CTO to determine appropriate technical tests along with screening questions appropriate for our recruiting team to ask during their interview with each candidate. These are attached to the requirements within our system. SOFT’s screening process involves:
- Video Interview - Candidates are scheduled for a video interview with our recruiters to visually identify them and match them to their government issued ID, and to measure their ability and experience against all aspects of the job description using the questions developed by the team assigned to the client.
- Proprietary or Commercial Testing - If the candidate passes the visual/recruiter interview, they may be given a proprietary generated or commercial test to confirm their level of expertise as required in the job description.
Candidates are scored and when the recruiting team identifies a candidate that meets all aspects of the position, they are prepped for submittal.
Step 3 – Submit
All personal details are gathered by the recruiter. Resume and sample work product (if applicable) are gathered, reference checks begin, and submission is prepared according to your preference. Each SOFT recruiting team member follows the client-specific format for each candidate's submission. Recruiters send all details to the Account Manager who does a final quality check. If acceptable, the candidate is sent to the client in the appropriate format.
Because SOFT has a highly experienced team that works effectively and efficiently, we most often submit qualified candidates within 24 hours.
Step 4 - Interview
Upon receiving the client’s feedback, the account manager will schedule interviews accordingly. Post interview feedback is always helpful in streamlining our account team’s understanding of client preferences.
Step 5 – Accept
When a client expresses interest in onboarding a candidate, it is relayed to the candidate immediately via the account manager. Upon acceptance, the client is made aware, a start date is agreed upon, equipment details are relayed, first day reporting instructions are decided, and onboarding is initiated.
Step 6 - Onboard
Our Office Administrator will generate the offer package and send it to the chosen candidate. Elements of an offer package include: offer letter, contract, tax forms (e.g., W 4), direct deposit form, I 9/right to work, NDAs, required licenses or certifications, background check form, medical insurance enrollment form, 401k enrollment form, commuter reimbursement form, company handbook and acknowledgement form, code of conduct form, safety and security form.
Once these forms are completed and signed background check is conducted.
BACKGROUND CHECK
When SOFT conducts their own background checks, they are conducted by Moore Information Services unless our client specifies a different company to be used. Background check elements include:
- Identity & Verification Check
- Criminal History Check
- Employment Verification
- Education and Credential Verification
- Credit Check (when justified)
- Drug Testing
- Driving Record
SOFT has read and agrees to all the background check requirements in Appendix D titled CS 2.1 Background Screening: NYPA Contractor’s Packet of this RFP. SOFT agrees to:
- Acknowledgement and compliance with North American Electric Reliability Corporation (NERC) and Critical Infrastructure Protection (CIP) requirements.
- Contractor employee background screening requirements
- Compliance with escorted and unescorted access requirements
- Identification badge requirements
Once paperwork is completed/signed, and background check is complete and clear, the candidate, now termed “consultant” is provided with start day details including start and end time for each day, equipment details if start day will be remote, log in information if starting work remotely, expected arrival time if working onsite, who to ask for if arriving in person, how to receive a security badge, and other pertinent information.
Step 7 – First day and Follow up
If feasible, the consultant is met by the account manager and introduced to the hiring manager directly. Typically, the account manager will check in with the hiring manager and the consultant after about a week. If everything is progressing as expected, the account manager may reach out monthly to the hiring manager to ensure productivity is as expected, and the recruiter will reach out monthly to the consultant to ensure the environment and workload is as expected. Contracts are monitored, renewals/extensions are discussed if needed, and anticipation of a successful collaboration is continued.

You must provide 30 days' notice if you wish to cancel a contract entirely. If there are contractors on assignments, you may relieve them when the work is complete, when their services are no longer needed, etc.
