Organization Overview:

The mission of the Community Health Care Association of New York State (CHCANYS) is to champion community-centered primary care in New York State through leadership, advocacy, and support of Community Health Centers. To do this, CHCANYS serves as the voice of community health centers, working to ensure that every New York State community has primary care that encompasses all aspects of each patient’s health and well-being. CHCANYS is a dynamic, team-oriented, 501(c)(3) non-profit organization, and as New York State’s Primary Care Association (PCA), advocates on behalf of and provides technical assistance to federally qualified health centers (FQHCs) throughout New York State. New York’s nearly 800 FQHCs sites provide comprehensive, community-based primary and preventative care services to 2.2 million New Yorkers annually, regardless of insurance status or ability to pay. CHCANYS is nationally recognized for its programs in health policy, performance improvement, health information technology, health system planning, and training and technical assistance (T/TA).

POSITION SUMMARY:

Under the direction of the Senior Director of Service Programs, this position will work to support and assist with the administrative responsibilities of the state-wide AmeriCorps and Navigator programs. As a member of the Workforce Development (WD) Team, the Service Programs Coordinator will also provide support to key components, initiatives, and projects of the WD department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

· AmeriCorps Program:

o Coordinates the AmeriCorps Onboarding process for incoming AmeriCorps members, including notifying them of pre-enrollment requirements, collecting and reviewing required forms and documentation, and scheduling member Pre-Service Orientation (PSO).

o Assists with in-person member Pre-Service Orientation, including conducting PSO presentations and coordinating logistics

o Assist with the maintenance of AmeriCorps member charts, including the Smartsheet charts database and tracking hours of service in the OnCorps timesheets system

o Maintenance of Smartsheet documentation database, including collection of member contracts, enrollment forms, and other member documentation

o Conducts the National Service Criminal History Checks (NSCHC) procedure and pre-enrollment requirements for AmeriCorps members. Adjudicates NSCHC checks, as required, on Fieldprint, Truescreen, and eGrants portals

o Enrollment of AmeriCorps members in the eGrants portal within the required period

o Updates eGrants organizational profiles and program listings for open program positions

o Assist with the annual site visits and audits of AmeriCorps host sites and internal program audits

o Works with the CHCANYS Operations team to notify of incoming members, new payroll information, payroll terminations, and reviews, and submits AmeriCorps members travel reimbursements for processing

o Informs members of news and information related to their AmeriCorps term, including program benefits such as health insurance, travel reimbursements, child care benefits, Member Assistance Program information, training opportunities, and events

· Navigator Program:

o Maintain database for monthly data reports, customer satisfaction reports, and database of SBOs and community partners

o Provide logistical and scheduling support for monthly Navigator team meetings

o Arrange logistics and track Navigator team participation in mandatory trainings and events

o Support the development of CHCANYS Navigator page with program resources and participating locations

o Research potential community partnerships and monitor news sources for information relevant to the Navigator program

o Assist with the creation and maintenance of timesheets and time and effort tracking for Navigators and sub-grantees

o Process Navigator reimbursement requests

o Schedule regular quarterly meetings with sub-grantees

· Conduct other duties as assigned to fulfill CHCANYS’s mission.

KEY ORGANIZATIONAL RELATIONSHIPS:

This position works in close collaboration with:

  • Workforce Development (WD) team
  • Various other CHCANYS departments and staff members
  • CHC host sites and community partners

MINIMUM QUALIFICATION REQUIREMENTS:

· Associate’s Degree and at least one year of professional experience in related field

· Ability to organize, coordinate, and multi-task various activities in support of a comprehensive program

· High degree of independence, flexibility, initiative, and commitment

· Ability to deal effectively with diverse populations and work in a group

· Interest, knowledge, and commitment to community/primary health care

· Excellent writing, research, and analytical skills

· Proficient computer skills: MS Office, web, social media, etc.

· Cultural competence

· Must be willing to travel, as required

· Occasional late hours and weekend hours
